After-School Program

Our after-school programs provide structured academic and exploratory support in the following core categories:

  • Focused Tutoring: Math, English Language, and Reading.
  • Homework Help: Dedicated time and support for academic assignments.
  • Test Preparation: Specialized courses for STAAR, ACT, and SAT exams.
  • STEM Exploration: Hands-on learning in coding, robotics, digital creativity, and AI.

Summer Camp Programs

Our summer camps blend academic reinforcement with engaging, project-based learning. They feature:

  • Academic Boost: Targeted tutoring to prevent summer learning loss and prepare student for the next school year.
  • STEM Challenges: Fun and exciting weekly themes in robotics, coding, and STEM (such as digital creativity and AI courses).
  • Creative Hands-On Activities: Projects that encourage innovation and teamwork. 
  1. Enrollment, Attendance & Transportation

Enrollment Requirements

To complete enrollment, families must:

  • Submit a fully completed registration form online or in-person. Visit www.innovatelearninghub.com for the online enrollment form. The enrollment form will request that you:
    • Acknowledge receipt and review of this handbook.
    • Provide up-to-date emergency contact information on the enrollment form.
    • Submit any required medical, allergy, or action plans.

Attendance Policies

  • After-School Program: Daily sign-in/out is not required. However, please notify us of any planned absences.
  • Summer Camp: Students must be signed in and out by an authorized adult each day. Please notify ILH if your child will be absent.

Drop-Off & Pick-Up Procedures

  • After-School Program: Students are expected to arrive and be picked up at their designated times.  Parents are expected to be on premises, either at the center or around the shopping mall and should ensure students are picked up promptly. A 10-minute grace period is provided for pick-up.
  • To ensure appropriate pacing and facilitate conducive learning, sessions are scheduled hourly. Students may not exceed four and a half (4.5) hours of instruction per day or twelve (12) hours per week.

  • Summer Camp:
    • Early Drop-Off: Available from 8:00 AM to 9:00 AM.
    • Standard Hours: 9:00 AM to 4:00 PM.
    • Late Pick-Up: Available from 4:00 PM to 5:00 PM.

Please Note: Innovate Learning Hub is an enrichment program provider, not a licensed childcare center. Our focus is providing structured academic tutoring and STEM programs.

Late Pick-Up Policy

For the safety of our students and staff, a late fee will be enforced:

  • After-School Program: A fee of $1 per minute will be charged for pick-ups 10mins after the scheduled pick-up time.
  • Summer Camp: A fee of $1 per minute will be charged for pick-ups after 5:10 PM.

Authorized Pick-Up

Only individuals listed on the student’s authorized pick-up form may pick up a child. Staff may request photo identification for verification.

  1. Health, Safety & Security

Safety Standards

  • All Innovate Learning Hub staff are trained in First Aid, CPR, and Child Abuse Prevention.
  • We maintain a zero-tolerance policy for bullying and child abuse.
  • Staff are required to intervene immediately in any bullying situation.
  • All staff are mandated reporters and are legally obligated to report any suspected child abuse or neglect.

Illness Policy

To protect the health of all students and staff, children exhibiting signs of illness (including fever of 100.4°F or higher, vomiting, diarrhea, or contagious conditions) must remain at home. Students must be symptom-free for at least 24 hours without medication before returning.

Medication & Allergies

  • Prescription or over-the-counter medication may only be administered with a completed Medication Authorization Form.
  • Parents must provide detailed allergy information and any necessary action plans (e.g., EpiPen, Inhaler).

Emergency Preparedness

  • Innovate Learning Hub maintains comprehensive emergency procedures for fire, evacuation, and lockdowns.
  • We conduct regular safety drills.
  • Our Emergency Procedure Plan is available for parent review upon request.
  1. Student Code of Conduct

We are committed to providing a positive and respectful learning environment. All students are expected to:

  • Show respect to staff, peers, and visitors.
  • Use kind and appropriate language.
  • Use all equipment and materials responsibly.
  • Remain in designated program areas.
  • Follow staff instructions promptly.
  • Use technology only for academic and program-related purposes.

Behavior Intervention Steps

Our approach is progressive and focused on teaching appropriate behavior:

  1. Verbal Reminder & Redirection
  2. Reflection Time: The student will be temporarily separated from the activity to reflect on their choices.
  3. Parent Notification: A staff member will contact the parent to discuss the behavior.
  4. Behavior Plan: A meeting will be scheduled to create a formal plan for improvement.
  5. Suspension or Dismissal: For repeated or severe infractions, a student may be suspended or dismissed from the program without a refund.

Zero Tolerance Behaviors

The following behaviors will result in immediate parent contact and may lead to suspension or dismissal:

  • Bullying (physical, verbal, or cyber)
  • Physical aggression or violence
  • Willful destruction of property
  • Theft
  • Use of profanity or highly disrespectful language
  1. Academic & Program Expectations

Students are expected to arrive ready to learn and participate actively in all program activities. To maintain a focused academic environment:

  • Personal electronic devices (phones, tablets, etc.) may only be used for program-related activities under direct staff supervision.
  • The use of devices for gaming, social media, watching videos, or accessing unauthorized websites is strictly prohibited.
  1. General Program Policies

Personal Items

  • Students are encouraged to leave valuable personal items at home.
  • Innovate Learning Hub is not responsible for lost, stolen, or damaged personal belongings.
  • Please label all items (backpacks, jackets, lunch boxes) with your child’s name.

Snacks & Meals

  • After-School: Parents may send a nut-free snack with their child.
  • Summer Camp: Students must bring a nut-free lunch and snacks each day. Innovate Learning Hub may provide occasional nut-free snacks.

Dress Code

  • Students should wear comfortable clothing suitable for movement, STEM activities, and crafts.

Photos & Media

  • Innovate Learning Hub often takes photos and videos for educational and promotional purposes. Consent is requested as part of enrollment. Please let us know if you prefer your child’s photo not to be taken.

How We Communicate

We believe in strong, consistent communication with our families. Primary channels include:

  • Email: For official updates, invoices, and important announcements.
  • Text Messages: For timely reminders (e.g., upcoming events, weather closures).
  • Newsletter: Highlighting program news, student work, and upcoming themes.

Addressing Parent Concerns

We value your feedback. If you are concerned, please:

  1. Schedule a meeting with the Program Director.
  2. We expect all communication between parents and staff to be conducted respectfully and collaboratively.
  1. Billing & Payment Policies

Tuition

  • After-School Program: Tuition is billed monthly and is due by the 1st of each month.
  • Summer Camp: Tuition is billed weekly and is due the Friday prior to the start of the camp week.

Refund Policy

Our refund and cancellation policies are detailed in the separate Cancellation, Refund, and Rescheduling Policy document provided at enrollment. Please refer to this document for specific terms.

Discounts

  • A discount may be available for families with multiple children enrolled – speak with the Director.
  • Multi-week summer camp discounts may also be offered. Please see our current rate sheet for details.
  1. Field Trips & Special Events
  • Field trips and special events are not currently being planned but we recognize that they can be very enriching and may offer them in the future if permitted.
  • Written permission slips are mandatory for student participation in case of a field trip.
  • Some events may require additional fees, and parents will be notified in advance.
  1. Incident & Accident Reporting

The safety of your child is our top priority. In the event of any accident, behavioral incident, or injury, Innovate Learning Hub staff will:

  • Provide immediate and appropriate care.
  • Document the incident in writing.
  • Provide a written Incident Report to the parent/guardian on the same day.
